Manage org-wide email notification subscribers.
The Email subscribers page is your org-wide list of email notification recipients. Each row ties an address to a status dashboard and a set of components; when a published event with Notifications enabled affects overlapping components, matching verified subscribers receive an HTML email.
Admin-added and bulk-imported rows are created pre-verified. Public visitors can also subscribe from a status dashboard when the email channel is enabled. For the public /subscribe flow, see Email subscriptions. For HTML format, delivery logs, and the suppression list, see Email notifications.
Transactional emails
When visitors subscribe or request a manage link on a status dashboard, StatusDashboard sends a transactional email. These messages do not count toward your monthly event notification quota.
| When it is sent | Subject line | |
|---|---|---|
| Verification | A visitor submits the public subscribe form | [Business Name] Status Alerts - Confirm your subscription |
| Manage preferences | A verified subscriber requests a manage link | [Business Name] Status Alerts - Manage your subscriptions |
Business Name is your organization's display name — the same value shown as Business name on the Account page.
Admin-added and bulk-imported subscribers are created pre-verified; no verification email is sent for those entries.
Subscriber list
The list shows one entry per dashboard + email subscription record:
| Field | Description |
|---|---|
| Status | Pending (unverified), Active (verified with components selected), or No components (verified but none selected — notifications off) |
| Subscriber address. A lock icon indicates an admin-managed subscription (see below). | |
| Dashboard | Status dashboard display name |
| Verified | Date the subscription was verified |
| Components | Components the subscriber receives notifications for |
Use Prev / Next pagination to browse large lists (10 entries per page). Enter a full email address in the search box to look up a specific subscriber.
Quota bar
The quota bar shows unique email addresses in your organization vs your plan limit — e.g. 42 of 1,000 unique emails. Pending and verified subscriptions both count toward quota. This may be lower than the number of list entries when the same email appears on multiple dashboards.
Each new unique email consumes one slot when its first subscription record is created (public signup, admin add, or import). The same email on additional dashboards does not use another slot.
If a visitor never completes verification, the pending subscription record expires after 24 hours (matching the verification link validity). The quota slot is released automatically once that pending record is removed. It may take up to an additional 48 hours to process the removal — during that window the slot may still appear consumed in the quota bar even though the subscriber no longer exists.
Add subscriber
Admins can add a single pre-verified subscriber via Add Subscriber:
- Enter the email address
- Select the target dashboard (any dashboard in your organization)
- Select one or more components assigned to that dashboard
- Optionally enable Admin-managed only (see below)
The subscriber is created pre-verified (no verification email).
If an Email Domain Allowlist is enabled on a status dashboard, it only restricts public self-service signups on that dashboard. Admins can still add any email address here (and via import); those subscribers receive notifications and can request manage links normally.
Admin-managed (locked) subscribers
Some customers use distribution lists — a single list address subscribed to components, with recipients managed outside StatusDashboard. For these addresses, enable Admin-managed only when adding or editing a subscriber.
When locked:
- The subscriber still receives notifications for the selected services.
- The address cannot subscribe, verify, or manage preferences from the status dashboard Subscribe flow.
- Only admins can change services, lock/unlock, or delete the subscription in the admin console.
Locked subscribers show a lock icon next to their email in the list. You can lock an existing self-service subscriber at any time by editing the entry and enabling Admin-managed only; clearing the checkbox unlocks it and restores manage-link behavior.
Typical uses: Microsoft 365 / Google Groups distribution lists, shared mailboxes, or any address where end users must not change component selections themselves.
Edit subscriber
Click the pencil icon on a verified entry to update component selections and the Admin-managed only setting. Email and dashboard are fixed for the subscription record.
Clear all components to stop notifications without deleting the subscription. Status shows No components; the entry remains verified.
Verify subscriber
Click the checkmark icon on a Pending entry to admin-verify that subscription as-is (email, dashboard, and components from the signup). Confirm in the dialog — no verification email is sent.
The email already counts toward quota while pending; verifying does not consume an additional slot.
Delete subscriber
Click the delete icon on any entry and confirm in the dialog. The subscription is removed from that dashboard. The quota slot is released only when no other subscription (pending or verified) for that address remains in your organization.
Bulk import
Admins can import pre-verified subscribers via Import:
- Prepare CSV or pasted rows:
email, dashboard, components dashboard= status dashboard display name (e.g.Production Status) — must match an existing dashboard name in your org (case-insensitive)components= pipe-separated component names (e.g.API|Website)- Preview classification, then start the import (large files upload in the background; up to 50,000 rows per import; CSV files up to 15 MB)
Imported subscribers are pre-verified (no verification email). Importing an existing org email onto another dashboard does not consume an additional slot.
While an import is running: You cannot add subscribers manually, start another import, or accept new sign-ups on your status dashboard until the job finishes. Progress appears in a banner at the top of the admin console — you may navigate to other pages while it runs. If you close or refresh the browser before the upload finishes, start the import again.
